Integrative & Family Medicine Practice | Thousand Oaks, California

An established, patient-centered healthcare practice in beautiful Thousand Oaks, California is seeking an experienced Office Manager | Practice Administrator to oversee the day-to-day operations of a busy, multidisciplinary medical practice.

This is an excellent opportunity for an experienced healthcare professional who understands how to keep a medical office organized, efficient and running on schedule while creating an exceptional experience for both patients and staff.

Our collaborative practice brings together traditional and integrative approaches to care, including family medicine, chiropractic care, massage therapy, acupuncture, hyperbaric oxygen therapy and spiritual psychology, supported by a team of nurses, technicians and administrative staff.

The Role

The Office Manager will serve as the operational point person for the practice, working closely with the physician and clinical team to ensure the office runs smoothly and efficiently each day.

Responsibilities include:

- Oversee daily operations and workflow of the medical practice
- Manage front-office operations, scheduling and patient flow
- Keep providers and patients running efficiently and on schedule
- Coordinate communication between providers, clinical staff and front-office personnel
- Provide leadership and support to administrative and clinical support staff
- Oversee patient registration, scheduling, check-in and check-out processes
- Manage billing and related administrative functions
- Assist with payroll and other practice administration
- Maintain accurate information within the practice's EMR system
- Monitor office processes and proactively identify opportunities to improve efficiency
- Help maintain a professional, welcoming and patient-focused environment
- Troubleshoot day-to-day operational issues and take ownership of getting them resolved

Qualifications
- 4–5+ years of medical office experience, preferably within a chiropractic, physical therapy, rehabilitation, family medicine or similar outpatient practice
- Previous medical office management or practice administration experience required
- Experience with medical billing, payroll, scheduling, front-office operations and EMR systems
- Bachelor's degree preferred; Master's degree in Healthcare Administration or related field is a plus
- Equivalent combination of education and substantial medical practice management experience will be considered
- Strong leadership, organization and communication skills
- Professional, polished and comfortable interacting with patients, providers and staff
- Highly organized with the ability to manage multiple priorities in a busy clinical environment
- Proactive, dependable and solutions-oriented
- A true self-starter who understands how to run a medical practice and doesn't need to be micromanaged

Schedule & Employment
- Full-time, employed position
- 40 hours per week
- Monday–Saturday practice schedule
- When scheduled to work Saturday, one weekday will be provided off
- On-site in Thousand Oaks, California
